Record the proposed activity change and its effect on delivery, funding conditions and supplier commitments before revising the programme plan. Keep actual cost visible while finance reviews its permitted allocation and accounting treatment. A project manager's task change should not silently rewrite an approved funding purpose or the evidence expected for reporting.
Understand the decision
A planned workshop may move to another venue, serve a different group or share equipment with another programme. These choices can affect costs and reporting even when the overall budget is unchanged. The workflow should preserve the decision and identify when funder or governance review is required under the actual arrangement.
Work through the requirements
- Describe the changed activity and consequences.
- Review funding and allocation assumptions.
- Approve the revised plan through responsible owners.
| Record or decision | Why it matters |
|---|---|
| Activity change | Explains the proposed delivery adjustment. |
| Allocation decision | Records the reviewed basis for shared costs. |
| Commitment revision | Shows supplier and resource consequences. |

Watch for this failure
An unchanged total budget does not establish that a revised activity meets the original conditions. Preserve the reason, allocation basis and required approval, and let qualified owners review the effect on funding and reporting before updating programme records.
