Tie release to one identified proof approval, artwork version, stock specification and finishing instruction. Record whether approval covers content, layout and any agreed colour reference. A later file must enter change review rather than silently replacing the released version, particularly when plates or production sheets have already been prepared.
Understand the decision
A hypothetical brochure customer approves proof three, then sends a corrected telephone number in another attachment. Prepress has already prepared the original production file. The handoff must establish whether the change is accepted and who confirms the revised delivery or additional preparation before the press starts.

Watch for this failure
An email saying approved can be ambiguous when several attachments are in the thread. Capture the approved file identity and approval scope, and keep the production operator able to distinguish it from working drafts.
