Separate the software subscription from the project quote

Odoo's official pricing page distinguishes its software plans from implementation services and Odoo.sh hosting charges. A per-user rate therefore cannot tell you what it will cost to prepare data, agree workflows, configure a release or help people adopt it. Compare those decisions separately before adding them together.

Use the official page to understand the plan options, then obtain a quote for your actual user types, deployment and billing arrangement. Do not treat a search snippet, an old screenshot or another provider's example as your current contractual price. Keep the dated quote with the budget assumptions.

Check the currency, billing term and renewal price

A dollar symbol is not enough for a Canadian budget. Record whether each supplier quotes CAD or USD and whether a displayed monthly amount is billed monthly or represents an annual commitment. If currencies differ, state the conversion assumption and keep the original quoted amounts available for review.

If the Odoo quote includes an introductory discount, record its duration and which users or order it covers separately from the renewal rate. Confirm applicable taxes, additional-user treatment and renewal terms in the written agreement rather than extrapolating from a headline number.

Turn the cost categories into a worksheet

Create one row per cost, with the supplier, currency, amount, billing frequency, assumption owner and evidence. Leave an unknown amount blank and label it for investigation. Zero should mean a confirmed absence of cost, not a missing quote.

Calculate the first year and the ongoing year separately

For a planning view, add one-time project costs to the recurring charges expected during the first twelve months. For the following year, use the relevant renewal rates and the recurring work that continues. Keep internal staff time visible, even when it is tracked separately from cash paid to suppliers.

If you use the Odoo cost calculator, enter your own quoted or explicitly assumed amounts. Its arithmetic can organize a scenario; it cannot determine the correct plan, scope the work or produce a PlanMyERP quotation. Avoid adding the same cost twice when one proposal already includes a line item that appears elsewhere.

Understand what changes implementation effort

The important drivers include the number of distinct workflows, legal entities, source systems, integrations and custom rules. Data condition and the availability of decision-makers also matter. Ten users operating one simple process can need a different project from ten users coordinating several entities and external systems.

Ask which work is included, which assumptions could change and how additional scope is approved. A business needs review can clarify these questions before an implementation proposal. Fixed-scope and time-based arrangements each need clear deliverables, responsibilities and a method for handling uncertainty.

Compare two proposals on the same basis

Suppose one proposal includes a single import, while another includes two rehearsals and reconciliation assistance. Copying their headline totals into a comparison would hide a material difference. Create a common deliverables list and ask both providers to explain any gaps before choosing.

Then record a base scenario and a higher-complexity scenario using your own assumptions. The latter might include additional cleanup or a connection that still needs investigation. These are planning cases, not expected charges. Use them to identify the decisions that must be resolved before approving the budget.
