A QuickBooks-to-Odoo migration should start by deciding what the new system needs: active records, open transactions, opening balances, selected history, and accessible supporting documents. Preserve stable source identifiers, rehearse the transfer, and reconcile the result before cutover. Do not assume that an available connector will preserve every attachment, relationship, or accounting treatment without testing.
Confirm the source and the destination
Record the exact QuickBooks product, Canadian edition, company files, currencies, and connected services. Identify the proposed Odoo edition, version, hosting, and applications. A migration plan built for a different source product or destination configuration may not apply to your project.
Decide whether you are moving accounting once or keeping both systems connected. A one-time migration has a cutover date and a final reconciliation. An ongoing integration also needs conflict rules, duplicate prevention, monitoring, and someone responsible when the systems disagree. These are different scopes and should be quoted separately.
Choose what to migrate and what to retain
Historical detail is a business decision, not a default checkbox. Identify the reasons people need old information: collecting unpaid invoices, answering customer questions, comparing periods, investigating a warranty, or supporting an accounting review. Then decide which need requires structured transactions in Odoo and which can be served by an accessible archive.
Ask your accounting owner to approve the boundary between opening positions and imported transactions. Otherwise, a balance can be represented twice. Record how the chosen approach affects comparative reports and who will preserve access to the source records under the business's reviewed retention requirements.
- Active master data: customers, suppliers, products, accounts, and relevant terms.
- Open business: unpaid items and unfinished operational transactions that remain actionable.
- Opening position: agreed balances at a clearly defined cutover point.
- History: selected detail whose value justifies conversion and validation.
- Documents: attachments and an archive with a reliable way to find each item.
Map meaning as well as fields
Build a mapping register for the chart of accounts, customers, suppliers, products, tax codes, payment terms, currencies, and document statuses. Give each mapping a business owner. Similar names do not prove that two fields or accounts serve the same purpose. Investigate ambiguous and obsolete records before loading them.
Odoo's import documentation explains how External IDs support relationships and repeat updates. Preserve a stable source-to-target identity map and keep it under change control. This makes a second rehearsal more predictable and provides a way to investigate a missing or duplicated record.
Prove attachments and transaction relationships
If attachments matter, include them in the acceptance criteria. Select invoices and bills with supporting files, credits, partial payments, and other linked records. Require the proposed migration method to demonstrate what transfers, what remains external, and how an authorized user will retrieve it after launch.
A file appearing somewhere in the destination is not enough. Test whether it belongs to the correct record, can be opened, and remains accessible to the intended role. Likewise, a payment amount matching the source does not establish that it is linked to the right customer item. Check relationships as well as totals.
Reconcile before calling the migration complete
Agree on control reports and their filters before comparing figures. Use the same date, company, currency, and transaction-status boundary in both systems. Your accounting owner should review the trial balance, outstanding customer and supplier items, and other relevant control totals. Investigate differences rather than adjusting the expected total to make it match.
For example, a matching receivable total can hide one duplicated customer balance and one missing balance of the same amount. Check both the overall amount and individual open items. Maintain an exception log that states the cause, treatment, owner, and approval for every unresolved difference.
Plan continuity through cutover
List the dependencies that continue on either side of the switch: payroll, bank feeds, payment collection, ecommerce, reporting, and accountant access. Canadian accounting localization and bank connectivity require their own validation. Confirm the institution and account type instead of assuming an existing bank connection will transfer.
Rehearse the final extraction and load, define how late transactions are handled, and set a decision point for postponing cutover if the agreed checks fail. Keep users informed about which system owns new transactions. A business needs review can establish the scope and unresolved dependencies before an implementation estimate is finalized.
